Swim Meet 101

During our season, we have 7 meets, 6 regular season dual meets, and 1 divisional meet.  We will be at home (Urbanna) for 3 of the regular season meets, and 3 of the meets will be at another team's pool.  For the 2026 season, Urbanna has been selected to host Divisionals!

Our meets start at 7am, and swimmers are asked to arrive by 6am to check in and begin warm-ups.


Heat Sheets

Each week, heat sheets will be available to let swimmers and families know which events the swimmers are participating in that particular week.  Heat sheets list all swimmers, their events, heat & lane assignments, and seed times (the swimmer's best recorded time for that event).  If a swimmer has NT listed instead of a time, it means they have "no time" recorded yet for that event.


Event Schedule

The meets are scheduled following a routine format:

  • Freestyle Relays – 15 -18 ONLY
  • Medley Relays – 8 & under, 9-10, 11-12, 13-14, 15-18
  • Freestyle – 8 & under, 9-10, 11-12, 13-14, 15-18
  • Individual Medley (IM) – 10 & under, 11-12, 13-14, 15-18
  • Backstroke – 8 & under, 9-10, 11-12, 13-14, 15-18
  • Breaststroke – 8 & under, 9-10, 11-12, 13-14, 15-18
  • Butterfly – 8 & under, 9-10, 11-12, 13-14, 15-18
  • Freestyle Relays – 8 & under, 9-10, 11-12, 13-14

What to Bring

Swim meets can be long days, so it's important to come prepared for comfort, sun, and success! Here's a checklist of what you may want to consider bringing:

For Swimmers:

  • Swimsuit (team suit if you have one)
  • Goggles (bring a backup pair if possible)
  • Swim cap
  • Towels (2–3)
  • Warm clothes like sweats or a swim parka- mornings can be chilly even in summer
  • Flip-flops or sandals
  • Sunscreen
  • Water bottle
  • Cash for concessions
  • Entertainment- books, cards, or small games to pass time between events

For Families:

  • Camping chair(s)
  • Pop-up tent
  • Cooler with drinks and snacks

Being prepared helps make the day more enjoyable and keeps swimmers focused and ready to perform their best!


Warm-ups

Each team has an opportunity to warm-up in the pool, for about 20 minutes.  The home team will warm-up first, followed by the visiting team.  After warm-up, the team will gather for some inspiration and chants led by Otter Man!


Clerk of Course

Prior to their event, the announcer will call the event number over the loudspeaker, and the swimmers should then report to the clerk of course.  At Urbanna, this is  the covered area located between the front gate and the kiddie pool.  At the clerk of course, they will get the kids lined up and ready to swim their events.


Heat Ribbons

A heat ribbon is awarded to each heat winner immediately after they are done swimming and they can take this to our concessions table for a treat!  The remaining ribbons will be given out Tuesday mornings at 9:30.


Family Expectations

Families play a vital role in creating a fun, supportive atmosphere during meets.  Here are a few additional things to keep in mind:

  • Cheer and encourage:  Your positive energy helps propel our swimmers, and there is usually a designated area along the side of the pool where families can cheer and take photos or videos.
  • Recording restrictions: Per Prince WIlliam Swim League (PWSL) rules, recording or taking photos from the starting end of the pool is not allowed.  This is to ensure the safety and privacy of all swimmers.
  • Support the team: Our swim program runs on volunteers.  From volunteering as timers to helping with meet set-up or snack donations, there are many ways to contribute.  Keep an eye out for volunteer sign-ups before each meet.
